Here are some some best practices for using Zoom Webinars (not Meetings) and CEU Events.
Required: Zoom license, webinar add-on, CEU Events Instructor Account
Prior to the CEU Event
- Setup your Zoom Webinar first
- Sign in to Zoom and go to Webinars>Schedule Webinar
- Require a Registration. This is the key to getting an accurate reporting and we'll show you how to make this easy for the attendees below.
- We like to keep the Q&A and 'Enable Practice Session' on
- Rest of the options we'll leave up to your preference
- Once you can create the Zoom Webinar edit the following sections
- Invitations - Invite your Panelist(s), Approval - Automatically Approve
- Branding - Upload your logo and add Speaker's information
- Polls - add your polling questions/answers (highly recommend polls for attendee engagement)
- Sign in to CEU Events
- Events>+Event>Event Type - Webinar
- Webinar Link - Copy and paste the Zoom Webinar Registration Link you created earlier
- Invitation Notes: Example note (You must register to access the webinar, receive CEU credit and certificate of completion)
- Send out the CEU Events Invitation Link and promote your event. You want the attendee to only register once, be able to do the attendance, record the attendance and send out the certificates of completions with the least amount of manual work. Once you have people registered under your CEU Event follow the following step:
- Download the csv file of the pre registered attendees
- Events>Your Event>Download button at the bottom right of the list
- Edit the CSV File to Email, First Name, Last Name columns and save it
- Open Zoom>Webinars>Your Webinar>Invitations>Manage Attendees>Import from CSV
- Check, Send invitation after importing>Import and upload the CSV file you just saved from CEU Events.
This step will automatically register your attendees for the Zoom Webinar. It makes it seamless for your attendees to join your session and they won't have to manually register in order to join your session. You can repeat these steps daily depending how often you are promoting your event and how many attendees are registering per day under CEU Events. In addition, you can set up reminder emails, etc. to automatically be send out for you via Zoom (Admin>Account Management>Webinar Settings
- Download the csv file of the pre registered attendees
During the CEU Event
- Since you required the attendee Registration you will be able to run the attendance report after your event. This will reduce your stress and allow you keep focus on your presentation.
- Make sure to have the CEU Events Attendance Slide and the Class Code for your event at the end of your presentation ready.
After the CEU Event
- Run the Zoom Attendance Report, Admin>Account Management>Reports>Attendance Report
- Open the report, compare the attendance with your CEU Events Attendee List and mark attendees present then click on the Certificate of Completion.
